How to Receive and Process Shop Orders
An order from your shop shows up on Home the moment a customer places it. From there, three taps take it from new to paid, and the sale is recorded for you along the way.
Who it's for: any farm shop taking orders. Plan: every plan. Time: a couple of minutes per order.
What you need first
- A shop with products listed — see our lessons on opening your shop and adding products.
- Nothing else. An order arrives with everything already attached.
Step-by-step
Step 1: A new order arrives
When a customer orders from your shop, Home tells you. Tap View Orders to open the list: every order, newest first, with its status and whether it is paid.
Step 2: Read the order
Tap the new order. You see who ordered — with a Call button to reach them in one tap — what they want, the total, and any note they left.
Step 3: Confirm it
Can you supply it? Tap Confirm Order. If the customer left an email, they are told their order is confirmed.
Step 4: Fulfill it
Packed and ready to go? Tap Fulfill Order. The sale form opens already filled in from the order — buyer, items, price and quantity — so you are not retyping what the customer already told you. Tap Save, and the income is recorded with it. The order is now marked fulfilled, and linked to its sale.
Step 5: Hand it over
When the customer is ready to collect, tap Ready for Pickup. Your shop's pickup address and hours, from your store settings, are sent to them automatically, along with a "Mark Ready & Notify" confirmation on your side.
Step 6: Get paid
She pays when she collects. Tap Mark as Paid. The order now reads paid and ready for pickup, done — and in Finances, the income from the sale is already there, with the buyer's name against it.
Common mistakes
- Fulfilling before confirming. Confirm first, so the customer knows you can supply the order before you commit stock to it.
- Re-entering the sale by hand. Fulfill Order already fills in the sale form from the order. Use it instead of starting a new sale from scratch.
- Forgetting to mark paid. The order stays open until you do, even though the income was recorded when you fulfilled it — marking paid tracks the order's own status, separate from the income entry.
Frequently asked questions
Where do I see new orders?
Home tells you when a customer orders from your shop. Every order is also under More, then Selling, then Orders, newest first with its status and payment.
Does fulfilling an order record the sale for me?
Yes. Fulfill Order opens the sale form already filled in from the order: buyer, items, price and quantity. Save it, and the income is recorded with it, so you are not entering the same sale twice.
What does Ready for Pickup do?
It tells the customer their order is ready and sends your shop's pickup address and hours automatically, so you do not have to type them out each time.
Who can process shop orders?
Anyone with access to the app's Selling section can view and process orders; there is no extra plan requirement to receive or fulfil them.
