Livestock Health Records and Medicine Stock
The Medicine Store keeps a running balance of every medicine on your farm. When you record a treatment and choose a medicine, the app takes the dose out of that balance and sets the date the animals are safe to sell. You enter the medicine once and then only record treatments.
Who it's for: anyone who treats or vaccinates animals and wants to know how much medicine is left. Plan: available on every plan. Starter holds up to 5 medicines per farm, Growth 25, Scale and Enterprise no limit. Time: about 5 minutes.
What you need first
- A batch of animals to treat.
- The medicine on hand, to read its name, bottle size and withdrawal period from the label.
Step-by-step
Step 1: Open the Medicine Store
Tap "More". Under "Stock & supplies", tap "Medicine Store". The cards at the top count your medicines, "Low Stock", "Expired" and "Expiring Soon". Tap a card to filter the list.
Step 2: Add a medicine
Tap "Create", then "Add Medicine". Type the "Medicine Name" and pick the "Medicine Type", such as antibiotic or vaccine.
Choose a "Packaging Unit" (bottles, vials, boxes) and the "Primary Unit", such as ml. Enter "Units per Package": for a 100 ml bottle, enter 100. Enter the "Withdrawal Days" from the label: the days that must pass before eggs, milk or meat are safe to sell.
Step 3: Enter your stock and what it cost
Under "Initial Stock (Optional)", enter how many bottles you have now. Three bottles of 100 ml is 300 ml.
Turn on "Record Expense?" and enter the "Total Amount Spent". The unit cost is worked out and the expense goes into your finances. Tap "Add Medicine". Its page shows "Current Stock", the details and the "Stock History".
When you buy more later, open the medicine and tap "Manage Stock". Choose "Medicine Stock In", enter the quantity and set the "Expiry Date (Optional)". This is the only place to enter an expiry date.
Step 4: Start a health record
Open the Records tab and tap "Health Records", then tap "New Record" and choose "Health Record". Under "What are you recording?", choose "Treatment". Then pick the batch you treated.
Step 5: Add symptoms and a disease
Symptoms depend on the batch's species. Open a group or search, then tap every symptom you saw. If you know the disease, search for it under "Diagnoses" and pick it.
Step 6: Pick the medicine and enter the dose
Under "Pick a medicine", choose the medicine. Your stock shows beside each name, and empty ones show "Out of Stock". Enter the "Total Dosage" for the whole batch, not per animal. The batch size fills into "Number of Animals" and the app works out the dose per animal. If the batch tracks each animal, type the "Number of Animals" yourself, or nothing is taken from your stock.
A line such as "60 ml of Oxytetracycline will be taken from your medicine store" confirms what will be deducted. If the medicine has withdrawal days, a "Withdrawal ends" date appears. Tap "Save and exit".
Step 7: Check the stock afterwards
Go back to the Medicine Store. The balance is lower by the dose, for example 240 ml left from 300 ml after a 60 ml treatment. Open the medicine and the treatment appears in the "Stock History" as "Medicine Stock Out", "Used for Treatment".
Common mistakes
- Entering the dose per animal. "Total Dosage" is the whole dose for the batch. The app divides it by the number of animals.
- Looking for an expiry date on Add Medicine. That form has none. Set the expiry in "Manage Stock" when you add stock.
- Editing or deleting a health record to fix stock. Changing or deleting the record does not change the stock. Correct the balance with "Manage Stock".
- Treating past the stock. A dose above your stock shows a warning but still saves, so the balance can go below zero. Add the missing stock.
- Expecting a withdrawal date per medicine. Each medicine has one withdrawal figure, and a record with several uses the longest.
Frequently asked questions
Does the app take medicine out of stock when I record a treatment?
Yes, when the record type is Vaccination, Medication, Treatment or Deworming and it has a dose and a number of animals. The app writes a stock-out entry for the dose multiplied by the number of animals.
How do I record a medicine's expiry date?
Enter it in Manage Stock when you add stock, in the Expiry Date (Optional) field. The Add Medicine form has no expiry field. Expired and Expiring Soon then appear on the Medicine Store.
What happens if I treat with more than I have in stock?
The dosage screen warns you that the dose exceeds your available stock, but it does not stop you from saving. Add the missing stock in Manage Stock so the balance stays honest.
Can I use two medicines in one health record?
Yes. You can pick more than one medicine and set a dose for each. The record keeps one withdrawal end date, based on the medicine with the longest withdrawal period.
