A vaccination record is the only proof you have that an animal was protected. Without it, the vaccine might as well not have been given — a buyer cannot verify it, a vet cannot build on it, and an inspector will not accept it.
Most farms vaccinate diligently and record badly. The gap between the two is where outbreaks, rejected sales and failed inspections come from.
This covers what a usable record contains, what the law generally expects, and how to build a schedule you can actually keep.
Four separate reasons, each sufficient on its own.
Withdrawal periods. Most treatments require a waiting period before milk or meat can enter the food chain. That period starts on the date of treatment — a date you must be able to produce. Selling inside a withdrawal period is a food-safety breach in most jurisdictions, and "I think it was about three weeks ago" is not a defence.
Buyers increasingly ask. Processors, exporters and even individual buyers ask for health history. An animal with documented vaccination is worth more than an identical animal without, because the buyer is not absorbing your uncertainty.
Vets work from history. A vet who can see what was given, when, and what happened afterwards diagnoses faster and prescribes better. One who cannot is guessing, at your expense.
Outbreaks are traced through records. When disease appears in a region, the farms that can demonstrate their vaccination status are the ones that keep trading while movement restrictions apply to everyone else.
An incomplete entry is often worse than none, because it creates false confidence. Every treatment or vaccination should record:

The batch number is the field farms skip most often and the one inspectors ask for first. Photograph the label if writing it down is impractical — a photo with a date beats a blank field.
Disease risk is regional. A vaccine that is essential in one district is unnecessary a hundred kilometres away, and your local vet or extension officer is the authority, not a website. What follows is the shape of a programme, not a prescription.
Cattle. Clostridial vaccines are near-universal, usually a primary course with an annual booster. Respiratory and reproductive vaccines depend on local prevalence and are often timed around breeding. Calves need their own schedule beginning once maternal antibodies fade, typically from a few months of age.
Goats and sheep. Clostridial protection again — enterotoxaemia and tetanus are the common killers, and both are cheap to prevent and untreatable once advanced. Vaccinating pregnant does and ewes a few weeks before birthing passes protection to the newborn through colostrum, which is the highest-value dose in most small-ruminant programmes.
Poultry. The most schedule-driven species by far, with vaccinations often beginning at the hatchery and continuing through the first weeks. Newcastle disease and infectious bronchitis programmes are routine in most regions. Because poultry are vaccinated as flocks rather than individuals, the record is per batch — and getting the batch identity right is what makes it usable later.
Pigs. Programmes typically cover erysipelas and respiratory disease, with sows vaccinated pre-farrowing to protect piglets through colostrum.
Ask your vet for a written schedule for your region and species, then record against it. A schedule you keep is worth more than an ideal one you do not.
Recording later. Records written from memory at the end of the week contain errors, and errors in withdrawal dates are the dangerous kind. Record at the point of treatment.
Group entries with vague identity. "Vaccinated the young stock" is not a record. Which animals? If you cannot answer in six months, neither can a buyer.
Missing batch numbers. Covered above. It is the difference between a record and a note.
No booster tracking. A primary dose without its booster often confers little protection. A record that does not generate the next action is only half a record.
Broken cold chain, unrecorded. Most vaccines are useless once warm. If a fridge fails, note it — you may need to know later why a batch of animals had no immunity.
The value multiplies when the record tells you what is due rather than only what happened.
The practical shift is small: every time you record a dose, record the next due date at the same moment. That single habit converts a historical log into a working calendar, and it is why boosters get missed on farms that otherwise record well — the information existed, but nothing surfaced it on the day.
A paper book can do this if you keep a separate diary page per month. Most farms find it collapses under load, because the record is written in the shed and the diary lives in the house.
If paper keeps failing, Livestock Manager records medical events against individual animals or whole batches, stores the batch number and withdrawal period, and shows what is due rather than only what was done. It also keeps the history attached to the animal, so it travels with it at sale.
This is the part with legal consequences, so treat it separately.
When you treat an animal, write the withdrawal end date, not the duration. "21 days" requires arithmetic under pressure later; "safe from 13 September" does not.
For milk, the period is usually short but absolute — one treated cow's milk in the bulk tank contaminates the entire collection, which is a loss far larger than the cow. Mark treated animals physically as well as in the record, with a leg band or spray, so anyone milking knows without checking a book.
For meat, the period is longer and the record must survive until sale, which may be months away. This is precisely where paper fails and where an animal-linked record earns its place.
You cannot reconstruct records you never kept, and trying is a waste of a morning. Start with the next animal you treat.
Record the nine fields above, write the next due date at the same time, and keep it where the treatment happens rather than where the paperwork lives. Within one season you will have a health history worth showing a buyer — and, more usefully, a schedule that tells you what is due before it is late.
