How to Invite Team Members and Set Roles

You invite people to your farm from Team Collaboration. Type their email, pick a role, and the role decides what they can see and change. The rest of the farm's data is shared, so a worker enters records on their own phone and you see them at once.

Who it's for: Farm owners and managers who work with helpers, a vet or an accountant. Plan: Growth, Scale or Enterprise (Growth allows 3 people including you, Scale 10). Time: about 3 minutes.

What you need first

• A farm set up in the app.
• The email address each person will use to sign up.
• A plan that includes team members. On the Starter plan, tapping Invite Partner opens the upgrade screen instead.

Step-by-step

Step 1: Open Team Collaboration

On Home, tap More, open People & places, then tap Team Collaboration. The Home setup guide also has an Invite a team member shortcut. Only the owner and managers see this screen.

The list starts with one person: you, the Owner. Anyone you add appears under Active Farmers. People who have not joined yet appear under Invited Farmers.

Step 2: Tap Invite Partner and type their email

Tap Invite Partner. In Farmer's email address, type the email the person will use. The line under the box tells you how the invite arrives: the app emails an invite code, and people who already use Livestock Manager join right away.

Step 3: Choose a role

Open Select Role On Farm. The default is Staff. Each option shows a short description under the field.

• Manager / Supervisor runs the farm with you. Managers can invite people, change roles and block people, the same as the owner.
• Staff / Field Worker records daily work and does tasks. Staff have no Finances tab, no transactions and no Selling section.
• Accountant / Finance Manager handles income, expenses and reports.
• Viewer / Auditor can look at everything, including Finances, but cannot add or change anything.
• Veterinarian works on health records, the medicine store and breeding. A vet has no access to finances.

The owner role is not on the list, because a farm has one owner.

Step 4: Send the invite

Tap Send invite. If the person already has a Livestock Manager account, they are added to Active Farmers at once. If not, they appear under Invited Farmers with their role and an invite code.

Step 5: Help them join

The new person signs up with the same email you used. The app recognises the invite and asks for the code. They type it under Enter Invite Code and tap the button that reads Join and your farm name, for example Join Green Valley Farm.

If the email does not arrive, tap the code in the team list to copy it and send it on WhatsApp. The menu beside a pending invite also has Resend Invite, Change Role and Delete Invite. At your plan limit, Resend Invite can fail with a "maximum" message, because the pending invite itself uses a place.

Each person then sees their own version of the app. Staff get four tabs with no Finances. A vet sees animal health, not money.

Step 6: Change a role or block someone

Tap the menu beside a person in the list. Change Role moves them to another role. Block Farmer removes their access when they leave the farm. Their records stay on the farm. The next time they open the app they are signed out and told why. To let them back in, use Unblock Farmer from the same menu.

Common mistakes

• Giving Manager to someone who only needs to record. A manager can invite, change roles and block people. Use Staff for daily workers.
• Inviting on the Starter plan. Starter cannot invite anyone. Growth allows 3 people on the farm including you, Scale 10 including you, and Enterprise has no limit.
• Forgetting that pending invites count. An invite that nobody has accepted still uses one place. Delete it if you no longer need it.
• Signing up with a different email. The invite belongs to the email you typed. If the person signs up with another address, the app will not link them to your farm.
• Expecting a vet or a worker to see money. Staff and Veterinarians have no finance screens. Choose Accountant or Viewer for someone who needs them.

What can each role do in Livestock Manager?

The records they entered stay on the farm. The blocked person is signed out and cannot open the farm until you unblock them.
